Planning your private dining event – things to consider when searching for a venue 

When planning the perfect private dining part it is worth considering a couple of things before making your venue or restaurant choice. Whether you’re organising a large corporate party, or a birthday party the devil is most definitely in the details. The Event Book have popped together our top tips and tricks for hiring a private dining room or restaurant in London:

  1. Start off by writing a guest list, this will help you decide the capacity of the private dining room you will need for your event .
  2. Consider your event  budget and find the best deals on the Event Book website. We recommend setting a budget of between £50.00 – £80 per person + vat 
  3. Think of the location, and where most people will be travelling from. Consider venues close to the train or  tube station. The most popular areas for private dining are Covent Garden, Kensington, King’s Cross, Liverpool Street, Mayfair, and Shoreditch
  4. Consider the style of the venue, do you want a traditional british fare restaurant or something more unique and quirky serving street food or family sharing style foods? 
  5. Think about the type of space that would best suit your event. What vibe are you trying to create? Rustic & family or high-end luxe?
  6. Ensure that the restaurant caterers for special dietary requirements 
  7. Don’t forget to ask your guests for dietary requirements in advance of the event, such as (halal, kosher, gluten-free, vegan, etc.)
  8. If you are planning a larger private dining event – normally for 35 guests and over, find out if you can do a menu tasting 
  9. Ensure you know before signing the booking form you know what is and isn’t included in your private dining room booking (ask about what furniture and equipment you can use, as well as who’ll provide the linen, tableware and service staff).

The average cost to hire  a private dining room in London is £800.00. This is based on venues charging a minimum spend as opposed to room hire. A minimum spend means that you commit to a minimum spend on food and beverage spend, meaning you get the room free as long as you spend on F&B. If you are looking at a typical menu price for 3 course menu this can vary from restaurant to restaurant but as an average cost we would recommend £50.00 – £80.00

Whether you’re organising a seven-course degustation or a sweet afternoon tea in a leafy garden courtyard, a great foodie event is all about the details.

Seasonal produce – Try and serve seasonal, organic produce, artisan bread, a selection of London craft beers, to make it relevant to the local suppliers, to reflect the city you are in.

Build your own starter  –  Can work very well. Set up a small specialty food station that could work really well for networking lunches where people do not really know each other and acts as a talking point for your guests. Try to build your own canapes, such as mini tacos or prawn cocktail stations. 

The Chefs station – A chef’s station is always a great ice breaker, and each restaurant will have a different option available, so ensure you ask, as chefs love to show off their knife skills. Some ideas would be to have a chef shuck oysters or roll sushi for your guests on the spot. 

Get Creative with the drinks – Make is classy and fun with a cocktail station after the food has been served, or even before!
